MOBILE CONTRACT MANAGEMENT: ELIMINATE THE NEED FOR SIM-CARDS

Challenge: Most IT departments have to handle large amounts of mobile contracts including physical SIM cards. Tracking the current user, device and active SIMs is a huge challenge. This time consuming work leaves no time to optimize these contracts.

Solution: We connected the inventory management system together with the providers mobile contract management portal and provided a simple user interface that gives the admin team the option to easily assign (e)SIM cards to devices and contracts to employees while keeping the information synced across all platforms. We are also monitoring the monthly data usage to give recommendations for contract changes.

  • Huge saving potential in contracts due to reliant data quality

PERSONIO (HR TOOL) CONNECTOR, SYNC RELEVANT DATA INTO DOWNSTREAM TOOLS

Challenge: The People Team manages relevant data for each employee within their own tool (e.g. title, department, manager). This information is relevant for automations and also useful to be displayed in other tools (Slack, Google Contacts).

Solution: We wrote a connector that runs on the available free cloud infrastructure and keeps data between the HR-System and the IT-System in sync. This information is used to enrich services like Google Contacts, Slack and Personio with helpful information about the employees (e.g.: title, manager and phone number)

  • HR information is always up to date and accessible for all employees
  • No more copy and paste
  • Enabling further automation like automatic GMail signatures etc.

LOGISTICS: FULLY AUTOMATED AND INTEGRATED SHIPMENT SOLUTION TO STREAMLINE DELIVERY OF WORK EQUIPMENT

Challenge: A large amount of replacement parts had to be shipped to employees stationed throughout the country. Labeling, tracking and shipping these parcels was a time consuming and error-prone process. Each dispatcher had their own DHL account to create these shipments

Solution: We provided a simple user interface that allowed dispatchers to directly select the employee they wanted the parcel to be delivered. Once selected they provided weight and a preferred delivery service. After confirming a shipping label was automatically created and printed directly onto a label at their nearest printer. A ticket was created to track the shipment and the receiving employee was informed via mail including the tracking number.

CONSOLIDATING ADMINISTRATION TOOLS FOR DAILY ADMIN TASKS IN ONE PLACE

Challenge: In a fully cloud hosted environment daily administrative tasks can require using several admin portals which makes a simple task very time consuming. Sometimes these tasks can only be performed via API calls.

Solution: We built a simple web-hosted interface that offers administrators the ability to perform these tasks with very low effort. In the background this service connects to several SaaS-Apps via API to deliver the required changes and sometimes combines several steps.

  • Administrators can concentrate on more complex tasks and deliver faster results
  • Functionality can be provided that the normal user interface does not offer

OFF-BOARDING: AUTOMATICALLY EXPORT AND STORE GOOGLE VAULT ARCHIVES

Challenge: When offboarding a former employee some companies require a complete export of all emails. With Google Workspace these exports usually should be stored in Google Drive. The tool Google provides for these exports (Google Vault) does not provide an option to directly export into Google Drive and the process is very time consuming.

Solution: We built an automation that can be triggered externally (e.g. via ticket or other workflows) which creates, downloads and stores the users Vault archive in Google Drive. It is also possible to set individual retention rules (e.g. 10 years, forever, etc.) if needed for legal reasons. Once the export is uploaded and checked for integrity the user is automatically deleted.

Advantages:

  • Automatic offboarding of employees (less error-prone)
  • Meets legal requirements (retention policies, GDPR compliance)

BUDGET FRIENDLY AND SCALABLE DIGITAL SIGNAGE SOLUTION FOR EXISTING INFRASTRUCTURE

Challenge: We were tasked to find an affordable and low-maintenance solution for digital signage within the company. There were already a huge amount of RaspberryPis in place but they were often failing because of faulty images and SD cards

Solution: We built a generic RaspberryPi image that pulls its dashboard configuration live from the cloud using its own MAC address. The configuration was stored in a Google Sheet to keep it as simple as possible.

Advantages:

  • Eliminated the need for costly software and old hardware was repurposed
  • Reduced maintenance work of Admins and improved uptime
  • Empowered the end user with a simple and familiar interface
